This Privacy Policy has been written in line with the new General Data Protection Regulations which come into effect on 25th May 2018. Our Privacy Policy previous to this date was incorporated into our Quality System as per our accreditation to ISO 17025. This document simplifies our policies and brings the information into a single document.
Who are we?
Index Microbiology Ltd is a Limited Company, specialising in the testing of environmental, air and water samples. We are a UKAS (United Kingdom Accreditation Service) and DWTS (Drinking Water Testing Specification) Accredited laboratory, accredited to ISO 17025:2005 – General Requirements for the Competence of Testing and Calibration Laboratories.

Whose data do we hold?
What data do we collect?
We only collect data from our clients in relation to the service being requested. This may include sample descriptions and locations, client contact information (in order to send results) and historical information on sample points (where appropriate).
We also hold microbiology test results for samples tested in our laboratory.
How will we use your data?
We will use your data for provision of microbiological testing or any other professional service requested. This will include contacting you with results in the format of a written report, or by telephone. We may occasionally contact our clients with new services or updates to our accreditation status as required under our UKAS accreditation to ISO 17025.
Who will we share your information with?
We will not share any information with any third party individuals unless with your written consent.
Occasions where we may have to share information is when sending microbial isolates to a Reference Laboratory in relation to an incident or outbreak. Full written consent will be sought before carrying this out.
Our Laboratory Information Management System provider will have access to our system for maintenance purposes but will not share any of this information.
How long will we keep your information for?
As per our UKAS Accreditation requirement we will keep your information for a period of 6 years. This includes all hard copy request forms and all data held on our Laboratory Information Management System.
Security arrangements
All of the information we hold is either held on our LIMS system or as hard copies. These are housed on password and encrypted computers which are within our secure laboratory location. Any digital information taken away from site is stored on encrypted storage devices.
Hard paper copies of information are held in secure locations at the address of Index Microbiology Limited or at the Directors Office at Glove Factory Studios, Holt. Both locations are secure.
Rights of access
Our clients have complete rights of access to any information associated with themselves. In accordance with our Quality Policy, all documents relating to our Quality System are available to our clients on request.
A copy of this Privacy Policy will also be sent to all of our clients.
